What information we collect

We collect and process personal information in the following circumstances:

Patients: When you become a patient or enquire about treatment, we may collect your name, date of birth, contact details (address, telephone number, email), medical and dental history, treatment records, radiographs and CBCT scans, and financial information relating to your care.

Website enquiries: When you submit a contact form on this website, we collect your name, email address, telephone number and the contents of your message.

Referrals from dental professionals: When a dentist refers a patient to us, we receive the referring dentist's contact details and the patient's name, date of birth, contact details and relevant clinical information.

Why we collect your information and our legal basis

We collect and use your information for the following reasons:

  • To provide dental treatment — processing health data is necessary for the provision of medical care (UK GDPR Article 9(2)(h)).
  • To fulfil our contract with you — processing your contact and financial details is necessary to deliver the services you have requested.
  • To comply with our legal obligations — we are required to maintain accurate patient records under GDC guidelines and applicable healthcare legislation.
  • For our legitimate interests — including responding to enquiries, managing appointments and communicating with referring dental professionals.
  • With your consent — where we request your consent for specific uses of your data (for example, marketing communications), we will only proceed if you agree.

Who we share your information with

We do not sell your personal data. We may share your information with:

  • Your referring dentist — we send written reports to the dental professional who referred you, as part of co-ordinating your care.
  • Dental laboratories — where laboratory work is required as part of your treatment, relevant details may be shared with the laboratory involved.
  • Other treating clinicians — in cases where you are referred on for specialist care, relevant records may be shared with your consent.
  • IT and software providers — we use third-party software to manage practice operations. These providers are bound by data processing agreements and may not use your data for any other purpose.
  • Regulatory and legal authorities — where required by law, we may be obliged to share information with bodies such as the GDC or the ICO.

How long we keep your information

We retain patient records for a minimum of 11 years from the date of last treatment, or until the patient's 25th birthday — whichever is later — in accordance with GDC and NHS guidance.

Financial records are retained for a minimum of 7 years in line with HMRC requirements.

Enquiries that do not result in treatment are retained for up to 12 months, after which they are securely deleted.

Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • Right of access — you may request a copy of the personal data we hold about you (a Subject Access Request).
  • Right to rectification — you may ask us to correct any inaccurate or incomplete information.
  • Right to erasure — in certain circumstances, you may request that we delete your data. Please note that this right is limited where we are required to retain records by law or professional obligation.
  • Right to restrict processing — you may ask us to limit how we use your data in certain circumstances.
